Marketing Lists and Segments

Purpose

Marketing lists and segments help you organize All Contacts for broadcasts and automations without enrolling everyone in a cold-outbound campaign sequence.

  • Marketing list — static membership. You add or remove specific contact profiles.
  • Segment — saved filter rules. Membership updates automatically when contacts match your filters.

On All Contacts, a collapsible left sidebar shows your lists and segments. The main table always shows contacts, filtered by your sidebar selection.

Prerequisites

  • All Contacts (team-level contacts), not a single campaign tab.
  • Permission to create and update contacts for list membership and imports.
  • For segments, permission to save and edit filter views on the team.

Marketing lists

Create and manage lists

  1. Open ContactsAll Contacts.
  2. In the left sidebar, under Lists, click Create List.
  3. Enter a List Name in the side panel and click Create List.
  4. On a list row, open the menu:
    • Edit — rename the list.
    • Upload CSV — import contacts directly into that list (see below).
    • Delete — archive the list (it no longer appears in the sidebar; you can reuse the name on a new list later).

View list members

  1. In the sidebar, click a list name.
  2. The contacts table shows only profiles on that list.
  3. Use Filters to combine a list with other rules.

Add contacts to one or more lists

From bulk selection

  1. Select one or more contacts (or select all matching current filters).
  2. Click Add to List in the bulk actions bar.
  3. In the side panel, search lists, check every list you want, then click Add to List.
  4. To create a list in the same step, click Create new list, enter a name, and click Create list — contacts are assigned to that new list when you confirm.

Anyone already on a selected list is skipped (not duplicated).

While viewing a list

  1. Click a list in the sidebar to filter the table to its members.
  2. Select contacts, then use bulk actions:
    • Add to List — add to additional lists (multi-select).
    • Remove from List — remove from the list you are viewing.
    • Move to Another List — remove from the current list and add to a single destination list (the current list is not shown in the picker).

While adding contacts (any import method)

On All Contacts, most Add Contact flows let you assign imported or new profiles to marketing lists:

Method

Where to assign lists

Upload CSV

On the email validation step, search and check one or more lists (optional).

Add Single Contact

Add contact to lists (optional) on the form.

Import from Apollo

On the email validation step before import starts.

LinkedIn post interactions

Before Start import.

Import via Webhook

In Map Fields for each webhook — optional list assignment saved with the mapping.

Upload CSV from a list row

  1. In the sidebar, open on a list and choose Upload CSV.
  2. The side panel opens titled Upload CSV to [list name].
  3. Upload and map fields as usual. Imported profiles are added to that list automatically (you do not pick lists again on the validation step).

List picker behavior

Whenever you choose marketing lists (bulk add, imports, or webhooks), SuperSend shows:

  • A search box to filter list names.
  • A scrollable list with checkboxes (or a single choice for Move to Another List).
  • Create new list when you need a new list without leaving the flow.

Segments

Segments replace older saved views on All Contacts. Existing saved views were migrated automatically.

Save a segment

From the sidebar

  1. On All Contacts, under Segments, click Create Segment.
  2. In the side panel, enter a Segment Name, optional Search text, and add Filters (same fields as the Filters dropdown).
  3. Click Create Segment. The new segment is selected and applied.

From current filters

  1. On All Contacts, open Filters and build your rules.
  2. In the filter tags above the table, click Save as Segment.
  3. In the side panel, enter a Segment Name and click Save.

Apply a segment

  1. In the sidebar under Segments, click a segment name.
  2. Filters reload to match the saved definition and the table updates.
  3. Click All Contacts in the sidebar to clear list and segment filters.

Update or delete a segment

  1. In the sidebar under Segments, open on a segment and choose Edit.
  2. In the side panel, change Segment Name, Search, or Filters.
  3. Click Save Changes, or Delete Segment to remove it.

You can also update from the main table: select the segment, change filters or search, then click Update Segment in the filter tags or Filters dropdown.

How lists, segments, and labels differ

Concept

Purpose

Contact labels

Lightweight tags for organization and filtering

Marketing lists

Explicit audience membership for marketing sends

Segments

Reusable dynamic audiences defined by filters

Labels can appear inside segment filters. Lists and segments are separate from campaign enrollment.

Expected Result

  • Lists: Selected contacts appear as members of every list you chose. List filters in the sidebar show the updated membership.
  • Segments: Saved filter sets appear under Segments and can be reopened with one click.
  • Imports with lists: New and updated profiles from CSV, Apollo, LinkedIn, webhooks, or single-contact add are added to the lists you selected (in addition to being on the team).

Troubleshooting

  • Issue: Add to List is disabled or shows zero contacts.

Fix: Select at least one contact row, or use select all for the current filter. Bulk actions apply to the selection bar count.

  • Issue: Contact was added to the team but not to a marketing list.

Fix: Lists are optional on import flows. Re-select the contact and use Add to List, or re-import with lists checked on the validation/mapping step. For webhooks, open Map Fields and confirm list assignment was saved.

  • Issue: Move to Another List did nothing or contacts disappeared.

Fix: Choose a destination list different from the list you are viewing. The action moves members atomically (remove from source, add to target).

  • Issue: Deleted list name says it already exists.

Fix: Archived lists no longer block the name. Create a new list with the same name if needed.

  • Issue: Save as Segment or list panels do not show.

Fix: Confirm you are on All Contacts (team), not inside a campaign’s Contacts tab. Segments and marketing lists are team-level.
