Export Contacts and Reports
Purpose
You can export your contacts to a CSV file for backup, migration, or analysis. SuperSend sends the export to your email when it's ready. This article explains how to request an export and where to download it.
Prerequisites
- Access to the campaign or team whose contacts you want to export
- An active email address on your SuperSend account (exports are sent there)
Steps
Export contacts from a campaign
- Open the campaign (click Campaigns in the left sidebar, then select the campaign).
- Click the Contacts tab.
- (Optional) Apply filters to narrow what you export — e.g., by status (Replied, Bounced), labels, or search term.
- Choose which columns to include via the column selector (gear icon or column settings).
- Click Export in the top-right area of the contacts table.
- In the Confirm Export modal, review:
- Active Filters — Shows any filters you applied.
- Number Of Contacts to Export — The total count that will be included.
- Send CSV to email address — Your account email (used automatically).
- Click Export X Contacts (or Export 1 Contact if only one).
- You'll see a success message: "Exporting contacts... we will email you when its complete. You can view your exports on the Admin page too!"
Export contacts from the team level
- Go to Contacts in the left sidebar (team-level view).
- Apply filters if desired.
- Select columns and click Export.
- Confirm and click Export X Contacts.
Download the export file
When the export is ready, SuperSend emails you. You can also:
- Go to Admin (organization menu) → Exports tab.
- Find your export in the list (Type: Contacts or All Contacts, Status: completed).
- Click the Download button to get the CSV file.
Expected Result
You receive an email when the export is ready, and you can download the CSV from Admin → Exports. The file contains the columns you selected and all contacts matching your filters.
Troubleshooting
- Issue: Export status shows failed or processing for a long time.
Fix: Large exports can take several minutes. If it fails, try a smaller scope (fewer contacts or tighter filters). Contact support if it still fails.
- Issue: I don't see the Export button.
Fix: Confirm you have permission to view and export contacts for that campaign or team. Export may be restricted on some roles.
- Issue: The CSV is empty or missing columns.
Fix: Check that your filters didn't exclude all contacts. Ensure the columns you want were selected before clicking Export.
