Move a sender to another team
Purpose
Move an email sender (mailbox) from one team to another within the same organization when mailboxes were added under the wrong team or you are reorganizing teams. The mailbox connection is preserved (you do not need to reconnect SMTP/OAuth credentials in most cases).
Prerequisites
- Permission to update senders on both the source team and the destination team.
- At least one other team in the org to move the sender into.
Steps
- Switch to the source team (the team that currently owns the sender).
- Go to Senders and open the Mailboxes / email senders list.
- Click the sender row to open Edit Sender Details.
- Click Move to team.
- Choose the destination team and confirm.
After the move, the app switches to the destination team so you can continue working there.
What changes
- The sender appears under the destination team only.
- Campaign links that tied this sender to campaigns on the previous team are removed. You may need to add the sender (or its sender profile) to campaigns on the new team.
- Contact assignments that pointed contacts on other teams at this sender are cleared for those contacts.
- Microsoft / Google OAuth app registrations that are stored per team may be cloned or matched on the destination team so tokens keep working; team sending integrations are matched or cleared—you may need to re-link a provider integration on the new team if we could not find a matching one.
Troubleshooting
- Issue: You do not see Move to team.
Fix: Confirm you have sender update permission and you are not in bulk-edit mode for multiple senders.
- Issue: Move fails because a sender with the same email already exists on the destination team.
Fix: Remove or rename the duplicate on one of the teams, or archive the unused sender, then try again.
- Issue: After moving, Outlook or Graph sending fails on the new team.
Fix: Ensure the destination team has the same kind of Outlook / Azure setup (for example team-level Outlook credentials or Microsoft service account) as the source team, then reconnect if needed.
