Import Contacts from Apollo
Purpose
Pull people from an Apollo.io list into SuperSend without exporting CSVs. Use this when your source of truth lives in Apollo and you want one-time or recurring imports into All Contacts (team profiles) or into a campaign.
Prerequisites
- An Apollo account with a master API key (Apollo: Settings → Integrations → API).
- Admin access to add or manage the Apollo integration for your org (SuperSend Admin → Integrations).
- Permission to create contacts on the team (and the campaign, if importing at campaign level).
Steps
1. Connect Apollo in Admin
- Open Admin → Integrations (org-level).
- Add Apollo (or edit an existing row).
- Paste your Apollo API Key and enable the integration.
- Save so the key is stored for the teams that use it.
2. Start the import from Contacts
All Contacts (team)
- Go to Contacts (sidebar).
- Click Add Contact.
- Choose Import from Apollo.
Campaign
- Open the campaign → Contacts.
- Click Add Contact (or the add/import entry point your team uses).
- Choose Import from Apollo.
3. Complete the wizard
- Connect — If Apollo is already linked for the team, you go straight to list selection. Otherwise enter the API key and connect.
- Select List — Pick the Apollo list. Lists already set for hourly auto-sync (team imports only) show a status; you can stop auto-sync from here if needed.
- Map Fields — Map Apollo columns to SuperSend fields (same idea as CSV mapping).
- Confirm Import — Review list name, count, and mappings. For All Contacts only, you can turn on Auto-sync this list hourly so new list members are imported about once per hour.
- Email Validation — Choose SuperSend validation (uses credits) or confirm external validation, then start the import.
4. Track progress
Background import runs like other bulk jobs. Use the in-app process indicator to see completion, counts, and any failure summary link if rows fail.
Expected Result
- Team import: Contact profiles appear under All Contacts with the fields you mapped.
- Campaign import: Contacts are created/updated and enrolled in that campaign, ready for the sequence subject to your sending rules.
- Auto-sync (team): With the option enabled, the same list stays on an hourly schedule until you stop it from the list step.
Troubleshooting
- Issue: Apollo does not appear under Admin Integrations or stays disabled.
Fix: Confirm the integration was added with Enabled on and a valid API key. Your org admin may need to create or update the Apollo row.
- Issue: Import completes with many “updated” and few “new” contacts on a repeat run.
Fix: Expected. Apollo does not expose “only new since last run” in the same way a CRM delta might; SuperSend reconciles against existing profiles/contacts so duplicates update rather than multiply.
- Issue: Auto-sync is not offered.
Fix: Hourly auto-sync is available for team (All Contacts) imports only, not for campaign-only imports.
- Issue: List step shows an error or empty lists.
Fix: Verify the API key has access to labels/lists in Apollo and that the integration is enabled for your team context.
