# Subsequences

# Subsequences

## Purpose

Subsequences are follow-up campaigns linked to a parent campaign. Use them when you want a separate sequence for contacts who match specific signals—for example contacts marked **Interested**, contacts who **Replied**, or contacts who **open** or **click** a parent email.

Each routed contact gets a **fresh copy** in the subsequence (engagement counters reset) while SuperSend keeps a trail back to the parent. You configure **who enters** on the subsequence **Entry Conditions** tab, and **what they receive** on the subsequence **Sequence** tab—including an optional **Wait** step before the first email.

## Prerequisites

- **Subsequences** available under campaign **Settings** (contact SuperSend support if you do not see it)
- Permission to update campaigns
- A parent campaign with a sequence already built

## Steps

### Create a subsequence in Settings

1. Open the **parent** campaign.
2. Click **Settings** in the campaign navigation.
3. In the settings sidebar, select **Subsequences**.
4. Click **Add Subsequence** (or **Create First Subsequence** if the list is empty).
5. Enter a name and click **Create Subsequence**.

New subsequences are created in the **Not running** state. Turn the subsequence on before you expect it to send (see **Activate a subsequence** below).

### Create a subsequence from a Move To Another Campaign step

1. Open the parent campaign **Sequence**.
2. Add or edit a **Move To Another Campaign** step.
3. Next to the **Campaign** field, click **+ New subsequence**.
4. Name the subsequence and click **Create Subsequence**—it is selected automatically as the move target.

### Activate a subsequence

Routed contacts will not receive subsequence emails until the subsequence is running.

1. Open the **subsequence** (from the parent campaign tabs or **Back to** link).
2. Click **Settings**.
3. Select **Campaign** in the settings sidebar.
4. Turn **Campaign On/Off** on.

Confirm the badge next to the campaign name shows **Active** (not **Not running**). Then configure **Senders**, **Schedule**, **Entry Conditions**, and **Sequence** before you rely on routing.

### Configure entry conditions

Entry conditions live on the **subsequence**, not the parent. They decide **when** a contact in the **parent** campaign is copied into this subsequence. Routing can happen from **any parent step**.

1. Open the **subsequence**.
2. Click **Settings**, then select **Entry Conditions** in the settings sidebar.

   **Shortcut:** From the subsequence **Sequence** tab, click **Entry Conditions** in the page header.

3. Review or edit the **Conditions** list. Each row is one rule; multiple rows are combined with **Or** (any match routes the contact).
4. Click **Add Condition** to add another **Or** rule.
5. Click **Remove** on a row to delete an extra rule (at least one condition always remains).
6. Changes save automatically after you edit a field.

**Condition types** (exact labels in the UI):

| Condition | What it checks | Extra fields |

| **Marked As Status** | Contact’s status in the parent campaign | **Status**: Interested, Not Interested, Meeting Requested, Meeting Booked, Customer, Future Opportunity, Follow Up |
| **Marked As Replied** | Contact is marked **Replied** on the parent | — |
| **Reply Contains Text** | Incoming email reply body includes your phrase (case-insensitive, HTML stripped) | **Reply Contains** (required). SuperSend reads the **latest inbound reply** from the conversation / event record when routing runs (on reply ingest, status change re-check, or when you save Entry Conditions). |
| **Lead Activity** | Engagement on the parent copy | **Activity**: Opened Email, Clicked Email, Replied To Email |

**Default for new subsequences:** **Marked As Status** → **Interested**.

**When routing is evaluated:**

- Status is updated (manually, via **Super Inbox**, or AI categorization after a reply)
- A reply is received or the contact is marked **Replied**
- The contact **opens** or **clicks** a tracked parent email (first open/click only)
- You save **Entry Conditions** on the subsequence—SuperSend re-checks eligible parent contacts and routes matches that were not moved yet

**Multiple subsequences on one parent:** If more than one subsequence’s conditions match the same contact, the **oldest** subsequence (by create date) wins. Design mutually exclusive rules when you need precise splits (for example **Interested** → Subsequence A, **Not Interested** → Subsequence B).

**After routing:** The contact is **finished** in the parent campaign and continues in the subsequence copy. Status from the parent is preserved on the new copy where applicable.

### Build the subsequence sequence (including wait before first email)

1. Open the **subsequence** and go to **Sequence**.
2. Use **Entry Conditions** in the sequence page header (Simple or Advanced builder) when you need to change who enters from the parent campaign.
3. New simple subsequences start with **Step 1** as a **Wait** step (default **1** **Days**). Adjust the wait value and unit (**Minutes**, **Hours**, **Days**) in the step list on the left.
4. On **Step 1**, open the **Condition** dropdown if you need to change the step type. Subsequences can select **Wait** as the first step type (not available on parent campaigns).
5. Click **Add Step** below the wait to add your first email or other action step.
6. Complete subject/body (for email steps), **Senders**, and **Schedule**, then click **Save** on the sequence.

**Why use a leading wait:** Delays the first subsequence touch after routing—for example wait 2 days after someone is marked **Interested** before the follow-up email sends.

**When a routed contact enters:** They land on the **first step** in sequence order. If that step is **Wait**, they wait until `wait_time_end_at` before the next step becomes due. If the first step is an email, sending follows your schedule as usual.

### Replies, status, and routing

A common pattern:

1. Parent sequence sends.
2. Contact replies in **Super Inbox**.
3. Reply is categorized (for example as **Interested**) or the contact is marked **Replied**.
4. **Entry Conditions** on the matching subsequence fire.
5. Contact routes to the subsequence and, if configured, waits on **Step 1** before the first follow-up email.

Notes:

- The reply appears in the inbox thread right away.
- **Replied** and status updates on the contact record may take a short moment after categorization finishes.
- **Reply Contains Text** only matches when SuperSend has reply body text available (typically right after an inbound reply is processed). You must enter non-empty text before conditions save — an empty **Reply Contains** field will not save.
- **Lead Activity** rules match when the contact’s open/click/replied flags are set on the **parent** copy. **Opened Email** and **Clicked Email** are evaluated when tracking records the **first** open or click—even if that happens days after the parent email was sent.

### How engagement shows on parent vs subsequence

Parent and subsequence are separate contact records:

- If someone **replies on the parent** before routing, **Replied** shows on their parent contact.
- After routing, they have a **new copy** in the subsequence with a fresh engagement row (opens, clicks, replied reset for that copy).
- If they **reply on the subsequence**, **Replied** shows on the **subsequence** contact—not on the parent copy left behind.

This keeps parent history accurate and subsequence follow-up tracking separate.

### Navigate between parent and subsequence

- From a subsequence, use **Back to {parent name}** under the campaign title.
- From the parent, open a subsequence from the tabs on the right side of the campaign navigation bar (hover truncated names for the full title).
- Subsequence campaigns show a **Subsequence** badge next to the name.

Subsequences are managed from the **parent** campaign’s **Settings → Subsequences**. If you open **Subsequences** settings while viewing a subsequence itself, SuperSend redirects you to **Entry Conditions** for that subsequence.

### View routed contacts on the parent campaign

1. Open the **parent** campaign and go to **Contacts**.
2. Open **Advanced Filters** and add **Routed to Subsequence** equals **Yes** (or use a dashboard link that opens this view).
3. The table shows **Routed to**, **Routed on**, and **Status then** columns.
4. Open a routed contact to see a **Routed to {subsequence}** banner with a link to that subsequence.

On the campaign **Dashboard**, the **Finished** tile notes how many contacts were routed to subsequences when that count is greater than zero.

## Expected Result

- Up to **3** subsequences per parent campaign (one level deep—subsequences cannot have their own subsequences).
- Subsequences appear as tabs on the parent campaign nav (right-aligned) and do **not** appear in the main team **Campaigns** list.
- New subsequences start **Not running** until you turn **Campaign On/Off** on.
- **Entry Conditions** default to **Marked As Status** → **Interested**; rules combine with **Or** logic.
- Saving **Entry Conditions** can route existing matching parent contacts who were not moved yet.
- Subsequence **Sequence** can start with **Wait** then email; routed contacts honor that wait before the next step.
- Contacts moved to a subsequence show **Routed from:** on their subsequence contact card with a link back to the parent.
- On the parent, routed contacts appear when filtered by **Routed to Subsequence**, with destination, route date, and status at time of routing.
- Subsequences can be edited, sequenced, and managed like normal campaigns once activated.

## Troubleshooting

- **Issue:** **Subsequences** tab missing under Settings.  
  **Fix:** Your organization may not have subsequences turned on yet. Contact your SuperSend admin or support.

- **Issue:** Cannot create more than three subsequences.  
  **Fix:** Delete an existing subsequence under **Settings → Subsequences** (use **Delete** on the row), then create a new one. The limit is three per parent.

- **Issue:** **Entry Conditions** tab missing on a subsequence.  
  **Fix:** Confirm you opened a **subsequence** campaign (look for the **Subsequence** badge), not the parent. Confirm subsequences are enabled for your org.

- **Issue:** Contact should have routed but did not.  
  **Fix:** Confirm they are still on the **parent** campaign (not already routed). Check **Entry Conditions** on the intended subsequence—status, **Replied**, reply text, and activity must match. If multiple subsequences could match, remember the **oldest** subsequence wins. Save **Entry Conditions** again to trigger a re-check of parent contacts.

- **Issue:** Contact routed to the wrong subsequence.  
  **Fix:** Review **Or** rules on each subsequence and create order—earlier-created subsequences take priority when several match. Tighten rules so only one subsequence should match per outcome.

- **Issue:** **Reply Contains Text** never matches.  
  **Fix:** Ensure the phrase is non-empty and appears in the reply body. Routing runs when the reply is processed; very short or empty phrases will not match.

- **Issue:** Subsequence not available in the Move step dropdown.  
  **Fix:** Create the subsequence first (**Settings → Subsequences** or **+ New subsequence** on the step).

- **Issue:** Contact routed to subsequence but no emails are sending.  
  **Fix:** Open the subsequence and confirm it shows **Active**, not **Not running** (**Settings → Campaign → Campaign On/Off**). Confirm **Senders**, **Schedule**, and sequence steps are configured. If **Step 1** is **Wait**, the first email waits until that duration elapses.

- **Issue:** Cannot find **Wait** on step 1 of a parent campaign.  
  **Fix:** **Wait** as the first step type is only available on **subsequence** campaigns. Parent campaigns insert wait steps automatically before later actions; open the subsequence **Sequence** to configure a leading wait.

- **Issue:** Contact lost status after moving to a subsequence.  
  **Fix:** Confirm the move target is a subsequence linked to the parent, not an unrelated campaign. Subsequence moves preserve status on the new copy; moves to other campaigns do not.

- **Issue:** Reply visible in **Super Inbox** but **Replied** not on the contact yet.  
  **Fix:** Wait a few seconds for reply categorization to finish, then refresh the contact sidebar. **Replied** updates after that process completes.

- **Issue:** Replied on subsequence but not on the parent contact (or the reverse).  
  **Fix:** This is expected. Each campaign copy tracks its own **Replied** state. Check the contact record for the campaign where the reply was sent.
